Terms and Conditions

Last updated: October 1, 2026

These terms apply to every booking made with Big Five Venture Safaris Limited, a licensed tour operator registered in Kenya. By paying a deposit or confirming a booking with us, you agree to the terms below. Please read them before you book, and get in touch if anything isn’t clear.

Bookings and Confirmation

A booking is only confirmed once we’ve received your deposit and sent you written confirmation of your itinerary, price and inclusions. Amounts paid before this point are treated as a provisional deposit and don’t guarantee final pricing or availability until confirmed.

Payment Terms

  • A deposit of 30% of the total trip cost is required to confirm your booking.
  • The remaining balance is due 60 days before your departure date.
  • If you book within 60 days of departure, full payment is required at the time of booking.
  • Payments can be made by bank transfer or mobile money
  • All prices are quoted in USD, and any bank or transfer charges are the client’s responsibility.

Cancellation by You

If you need to cancel, notify us in writing (email or WhatsApp is fine). Cancellation charges are calculated from the date we receive your notice, as follows:

  • More than 90 days before departure: loss of 10% of the total trip cost
  • 60 to 90 days before departure: loss of 25% of the total trip cost
  • 30 to 60 days before departure: loss of 50% of the total trip cost
  • Less than 30 days before departure: loss of 100% of the total trip cost

If part of your deposit has already been paid out to a lodge, park authority or partner on your behalf, and that amount is non-refundable to us, it will be deducted in addition to the above where applicable.

Cancellation or Changes by Us

If we need to cancel or significantly change your safari due to circumstances outside our control, such as park closures, political instability, extreme weather, or insufficient minimum numbers on a shared departure, we will offer you either a comparable alternative itinerary or a full refund of amounts paid, less any costs already incurred with third parties that can’t be recovered.

Travel Insurance

We strongly recommend that every traveller take out comprehensive travel insurance before departure, covering trip cancellation, medical expenses, emergency evacuation, and loss of personal belongings. Safaris involve travel to remote areas, and insurance protects you against risks we can’t control.

Health and Fitness

Safaris and Kilimanjaro treks involve long days of travel, uneven terrain, and, for climbs, high altitude. Please let us know in advance of any medical conditions, mobility needs, or fitness concerns, so we can recommend the right itinerary for you. We reserve the right to advise against a specific trek or activity if we believe it poses a serious risk to your health, though the final decision to travel remains yours.

Our Responsibility

We take care in selecting the lodges, vehicles, guides and partners used on your safari. However, as a tour operator, we’re not liable for:

  • Injury, loss, or delay caused by third parties such as airlines, lodges, or local authorities
  • Changes to wildlife sightings, weather, or natural events, which can’t be guaranteed or controlled
  • Circumstances beyond our reasonable control, including political unrest, strikes, natural disasters, or government travel restrictions

Nothing in these terms limits our liability for death or personal injury caused by our own negligence, where this cannot be excluded under Kenyan law.

Your Responsibility

You’re responsible for:

  • Ensuring you hold a valid passport, visa or eTA, and any required vaccination documentation for your trip
  • Arriving at pickup points and meeting times as confirmed in your itinerary
  • Behaving in a way that doesn’t put yourself, other guests, or wildlife at risk during your safari
  • Any personal items brought on the trip, which remain your responsibility throughout

Changes to Your Itinerary

We’ll do our best to accommodate requested changes to a confirmed itinerary, but changes made less than 60 days before departure may be subject to availability and additional costs from lodges or service providers.

Photography and Marketing

We may take photographs or videos during group activities for use in our marketing, including our website and social media. If you’d prefer not to be included, let your guide know at the start of your trip.

Governing Law

These terms are governed by the laws of Kenya. Any disputes arising from a booking will be subject to the jurisdiction of the Kenyan courts.
